Conference Events

Conference events include quite a few different types of activities. Most often they include meals, accommodations, and special speaking engagements. They also may include various types of entertainment. It all depends upon the purpose of the conference. Conference events are often designed to motivate and educate. This can be done either with the conference attendees passively listening to speakers, or through hands on group and team participation. All activities that take place at conference events (besides meals, perhaps) are designed to improve the communication and togetherness between employees.

Some of the activities that take place that require group or team participation include classroom activities, treasure hunts, and survival games. In addition, off road racing events and team building activities take place at these events.

Many of the classroom activities are designed to stimulate the thought process in people, and to help people get to know one another. Some of the outdoor or larger group activities often encourage cooperation and help build trust.

Yet another purpose for some of the activities is to just provide some time of complete fun. Usually conference events will be set according to a tentative timetable. These schedules are often printed out and distributed to people who sign up to go to a conference. Sometimes there may be a slight change in the overall conference itinerary, but generally speaking the written schedule that is planned for a conference event will be followed.

Usually when people sign up for conference events they will know whether or not all meals and accommodations are included in the conference event package. If meals and/or hotel or other lodging is included there generally will be no other obligations once a conference guest arrives. Conference events are often organized and coordinated by corporations, ministries, churches, non-profit groups, and even schools. Sometimes they are also held by hobby groups, multi-level marketing groups (not pyramid schemes, legitimate groups), and so on. Sometimes sports’ teams will hold conferences as well, along with training camps.

Sometimes entire conference events can be planned online. This may seem impossible with all that is involved in planning such a huge event. However, there are some experienced companies out there that can handle all of this for a group. If anyone has any questions about planning a conference they can usually find help online as well, via e-mail. Often conference event planning companies will provide a phone number as well.

Many organizations look forward to going to conferences. The reason why they exist is not only to motivate and educate, but they help people to get to know one another and to learn to communicate to one another.

Conference Organizers

Conference organizers are a group of professionals who make all necessary arrangements to make a conference a great success. These organizers work with guidelines to make the conferences uniform and unique. Guidelines generally apply to all conferences, symposia and workshops with the exception of an annual meeting, which has its own set of guidelines. The primary role of the organizing committee is to design the technical program, including the selection of themes, invitations to plenary speakers and the scheduling of all sessions. The committee also reviews proposals for contributed presentations, posters and short courses and chose to accept or reject proposals.

It is the responsibility of the organizing committee to ensure broad representation of plenary speakers and in all aspects of the program such as relevant scientific disciplines, industry and geographic balance. Organizers make a special attempt to include renowned speakers and topics from the industry. Organizers, under the instructions of the host, include women and underrepresented minorities in the selection of high profile participants at the conference, such as members of the organizing committee, invited speakers and mini-symposium organizers. A specific set of rules is drafted to suit the top participants of the meeting.

The first step in the process is to select the organizing committee members. The chair person will then be selected. Once the organizing committee is in place, the conference dates and venue is fixed well in advance - as much as 24 months before the conference. Most conferences are three days and suitable accommodation should also be provided. The conference themes should be well expressed and plenary speakers should be scheduled to make their presentations. The theme presentation is important, and there should be enough sessions to attract conference attendees and potential program participants.

The budget for the conference is determined at least six months prior and preliminary registration fees are set at the creation of the budget. It is important for organizers to understand this when considering decisions for the conference that have financial impact such as travel commitments to participants, including invited speakers, special events, expanded number of conference rooms and non-standard audio-visual equipment. Conference organizers dedicate services to conference related activities, committee meeting, and organizational expenses to make the conference a success.

How to Conference Call

Conference calling is one of the best business solutions to conduct a meeting over the telephone, in which more than three persons can participate to share some points. Or in other words, it is a means of communicating with more than one person simultaneously, without actually being physically present at a designated place. Conference calling offers mainly three modes for communication, i.e., audio, video, and web based conference calls. It is obvious that these conference calls eliminate a major cost for the companies, and therefore, are very much advantageous for the organizations. Some of the advantages offered by these conference calls are:

Cost Effective Process: Though the fee for availing the service varies with service providers, yet conference call is a much economical option to conduct a virtual meeting and to convey the message to the people concerned. Because in conducting a meeting with the conventional processes, a lot of travel expenses and hotel accommodation expenses are involved; whereas in case of conference calling, nothing of that sort is required.

Time saving process: It is as easy as thinking of talking to some persons and you can make a conference call immediately. Usually it is very good option for conferences that are called on very short notices. It also does not involve any loss of work and the message can be conveyed at a faster pace.

Helps in relation building: It is sometimes difficult for a business to conduct meetings for every segment of employees at regular intervals, which may lead to some misconceptions among employees and they may feel neglected. However, conference calling can eliminate such situations and helps in building good employer-employee relationship.

Simple and easily accessible: The service provider links the persons to be involved in a conference call and the persons do not need to have any special equipment for the same, as it simply linked with the ordinary phone or mobile phone. The person conducting a conference call is facilitated with a speaker, so that all persons involved must be heard at that point. The other persons can talk with the main conductor from their places.

Facilitate Data transfer: Audio conference calling is limited only to transfer instructions or views verbally; but via video conferencing, it is possible to transfer presentations or data to all the persons. With this service there will be no mistakes in sending and receiving instructions, as if there is any, one can clear it immediately and correct it.

Distance is not a problem: With the help of conference calling, the limitations of distance can be eliminated, as it can be used for talking to persons anywhere around the globe. That is why it is most commonly used by small as well as big business houses for communication purposes.

From the above advantages that conference calling provide, we can easily gauge the importance that they hold for any business model and organization setup—they are indispensable!
